How Projects Run

Every project, including competition projects, follows the same six stages. Funding is released in three parts as the project passes each review.

  1. Team formationTier 1 and Tier 2 members from different technical groups form a team.
  2. Proposal and defenceWritten proposal with budget and targets, presented to a review panel.Panel review
  3. ApprovalApprove, revise, reduce the budget or reject.40% funding
  4. Build and testBi-weekly progress with mentors and design reviews before big purchases.
  5. Mid-term reviewReport and presentation: pass, conditional pass or fail.40% funding
  6. Delivery and handoverFinal demo or competition, documentation and a trained successor.20% funding

What a proposal must answer

Why PolyU should support it, what will be built and how, why this team can deliver, the target result and how it is measured, the budget, milestones, risks and safety controls.

Funding and purchasing

Every purchase needs a quotation and approval first. Check club and University inventory before buying, and keep every receipt and purchase record.

Competition entries

Only Tier 1 and Tier 2 members can enter a competition or run a funded project. If several teams want to represent PolyU, an internal competition decides.

Accountability

A team that misses its target without a convincing reason is normally not funded in the next cycle, and its members' tiers are reviewed. A failed mid-term review stops the project.

Workspace

Industrial Centre space is shared and allocated by application for a set period. Space used less than about 60% of the time goes back to the Industrial Centre.

Documentation

Every project keeps a repository with requirements, CAD, code, bill of materials, test logs and lessons learned. A project closes only after a complete handover.
